Terms of Service
Effective September 10, 2026
These Terms govern your use of RFP Scout (the “Service”), operated by CKKC Associates LLC, a California limited liability company (“we”, “us”). RFP Scout is a product name, not a separate legal entity. By creating an account or paying for the Service, you agree to these Terms. If you do not agree, do not use the Service.
1. What the Service does — and does not do
RFP Scout collects solicitations (RFPs, RFQs, IFBs and similar notices) that California public agencies have already published on their own procurement portals, and emails you a daily digest of the ones matching filters you configure.
We are an aggregator and a notification service. We are not a party to any procurement, we do not submit bids on your behalf, we have no relationship with the issuing agencies, and we do not advise you on whether or how to bid.
2. Accuracy, completeness and your duty to verify
This section matters more than any other, so we are putting it plainly. The Service reads third-party websites that we do not control. Those sites change layout, go offline, publish late, amend solicitations, and move deadlines. As a result:
- A digest may omit a solicitation that exists, including one you would have wanted.
- Details we show — deadlines, contacts, classifications, set-aside language — may be incomplete, out of date, or wrong relative to the agency’s own posting.
- Matching reflects what the agency published. Where a portal publishes no industry classification, we say so rather than inferring one.
Before you rely on any bid — and certainly before you spend money pursuing one — you must verify it on the issuing agency’s own portal. Every digest links to the source. We do not guarantee that the Service is complete, accurate, current, or that any particular source or solicitation will appear.
3. Your account
An account belongs to one person. You are responsible for your credentials and for everything done through your account. Provide accurate information and keep it current. You must be at least 18 and able to form a binding contract. Do not share one account among multiple people or organisations; if more people need access, they need their own accounts.
4. Trial, fees and renewal
New accounts receive a 7-day free trial. No payment details are required to start it. When the trial ends, your projects pause and your saved filters and results are retained; choosing a plan resumes delivery.
Paid plans are billed in advance, monthly or annually, at the price shown on the pricing page when you subscribe, and renew automatically for the same period until cancelled. Payments are processed by Stripe through GoHighLevel. We never receive or store your card number. Your statement will read CKKC ASSOCIATES LLC.
We may change prices with at least 30 days’ notice by email. A price change takes effect at your next renewal, never mid-period.
5. Cancellation and refunds
You may cancel at any time by emailing support@rfpscout.ai. Cancellation takes effect at the end of the billing period you have already paid for, and you keep full access until then. Moving to a higher plan takes effect immediately; moving to a lower one takes effect at your next renewal.
Fees are non-refundable. We do not provide refunds or credits for partial periods, unused time, or periods in which you did not use the Service. The 7-day free trial exists so you can evaluate the Service before paying, and it is the evaluation period we offer. Nothing here limits any right you have under California law that cannot be waived by agreement.
6. Acceptable use
You agree not to:
- resell, republish, syndicate or redistribute digests or Service data to anyone outside your own organisation;
- scrape, crawl, or use automated means to extract data from the Service, or work around any plan limit;
- share one account across multiple people or organisations to avoid paying for more;
- interfere with the Service’s operation or security, or attempt to access another customer’s data;
- use the Service to violate any law, or for anything other than pursuing public work.
We may suspend or terminate an account that breaches this section. The underlying solicitations are public records; our compilation, filtering, presentation and software are not.
7. Intellectual property
We own the Service, its software, its design and its compilation of data. You own the filter configurations and other content you create, and you grant us the licence needed to operate the Service for you — to run your filters, build your digests and send them to you. We claim no ownership of your data and do not sell it.
8. Disclaimer of warranties
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE”, WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY, AND NON-INFRINGEMENT. We do not warrant that the Service will be uninterrupted, error-free, complete, or that it will identify any particular opportunity.
9. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, LOST REVENUE, LOST BUSINESS OPPORTUNITIES, OR A MISSED, LATE OR UNSUCCESSFUL BID — whether or not we were advised such damages were possible.
OUR TOTAL LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICE WILL NOT EXCEED THE AMOUNT YOU PAID US IN THE TWELVE MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM. These limits apply even if a remedy fails of its essential purpose, and do not apply to liability that cannot be limited under California law.
10. Indemnification
You will indemnify and hold us harmless from claims, losses and reasonable legal fees arising out of your use of the Service, your breach of these Terms, or your violation of law or third-party rights.
11. Termination
You may stop using the Service at any time. We may suspend or terminate access for breach of these Terms, non-payment, or if we discontinue the Service. If we discontinue the Service entirely, we will give reasonable notice and refund the unused portion of any prepaid period — the one circumstance in which we do refund. Sections 2 and 6 through 13 survive termination.
12. Governing law and dispute resolution
These Terms are governed by the laws of the State of California, without regard to conflict of law rules.
Informal resolution first. Before filing anything, email support@rfpscout.ai with a description of the dispute and give us 30 days to resolve it. Most problems end here.
Arbitration. If we cannot resolve it, any dispute will be settled by binding individual arbitration administered by JAMS under its Streamlined Arbitration Rules, seated in Los Angeles County, California, or conducted remotely at your election. Judgment on the award may be entered in any court of competent jurisdiction.
Carve-outs. Either of us may bring an individual claim in small-claims court instead, and either of us may seek injunctive relief in court to protect intellectual property or account security.
No class actions. Disputes will be brought only in an individual capacity, not as a plaintiff or class member in any class, consolidated or representative proceeding.
Your right to opt out. You may reject this arbitration and class-waiver section by emailing support@rfpscout.ai with the subject “Arbitration Opt-Out” within 30 days of first accepting these Terms. Opting out costs you nothing and affects nothing else; the rest of these Terms still apply, and disputes then go to the state or federal courts in Los Angeles County, California.
13. Changes to these Terms
We may update these Terms. For material changes we will email account holders at least 30 days before they take effect and update the date at the top of this page. Continuing to use the Service after that date means you accept the change. If you do not, cancel before it takes effect.
14. General
These Terms, with the Privacy Policy, are the entire agreement between us. If a provision is unenforceable, the rest stands. Our not enforcing something is not a waiver. You may not assign these Terms without our consent; we may assign them in connection with a merger or sale of the business.
